Objective

The Fax Health Check provides a structured, high-level review of a customer's existing Retarus Cloud Fax environment against operational best practices. It gives a clear picture of the current configuration, identifies gaps, and delivers prioritized recommendations to improve reliability, efficiency, and governance of fax operations.

The service is designed to:

  • review the current Cloud Fax configuration and governance setup

  • assess routing, number usage, and integration health

  • identify gaps between the current setup and Retarus best practice

  • provide actionable recommendations for optimization

The objective is to give customers a factual view of their fax operations and a prioritized path to improvement — without the need for a full assessment or project engagement.


Typical Customer Scenarios

The service is particularly suitable for customers with:

  • Cloud Fax deployments that have been in production for an extended period without structured review

  • recent organizational or personnel changes affecting fax administration

  • uncertainty about routing configuration, number usage, or integration health

  • upcoming audits or internal reviews touching fax operations

  • interest in validating their setup and identifying optimization opportunities


Scope of Services

Access & Governance Review
Review of administrative setup, including:

  • portal users, roles, and permission assignments

  • support contacts and escalation paths

Routing & Number Review
Assessment of routing configuration and number usage, including:

  • inbound and outbound routing rules

  • number inventory and assignment

  • identification of unused or misconfigured numbers

Integration Health Review
High-level review of how applications connect to Cloud Fax, including:

  • application integration status (SAP, ERP, DMS, gateways, MFP)

  • coverpage and template configuration

Operational Review
Review of operational patterns, including:

  • fax volume and usage patterns

  • delivery and error patterns at a high level

  • archiving and retention configuration

Gap Analysis & Recommendations
Structured comparison of the current setup against Retarus best practice, with prioritized, actionable recommendations.


Typical Review Areas

The Health Check covers portal access and governance, routing configuration, number usage, application integration health, coverpage and template setup, operational patterns, and archiving configuration. The exact focus areas are aligned with the customer prior to the session.

  • workshop presentation (PDF)

  • Fax Health Check Report with gap assessment and prioritized recommendations (PDF)


Customer Responsibilities

The customer is responsible for providing:

  • a qualified fax administrator as primary participant

  • temporary portal access for the Retarus Professional Services consultant (read access sufficient)

  • participation of relevant integration or operations stakeholders where applicable

  • timely availability for the scheduled session

Failure to provide portal access or qualified participation prior to the session may result in rescheduling.


Assumptions & Limitations

The Health Check is a high-level review. The following are out of scope:

  • implementation of configuration changes

  • deep integration troubleshooting or debugging

  • migration planning or assessment (covered by the Cloud Fax Discovery & Assessment Package)

  • environments beyond a single standard Cloud Fax footprint — complex, multi-site, or heavy-integration environments are assessed individually


Outcome

After completion, the customer receives:

  • a validated assessment of the current Cloud Fax setup

  • a documented gap analysis against Retarus best practice

  • prioritized, actionable recommendations for optimization
