FAQs about reporting
How can I analyze a fax job in, for example, Microsoft Excel?
To export a fax job, you can select the fax job in the job overview and click Export report, or, in the detailed view, export all rows (numbers), or only the rows (numbers) you selected.
You can export files in comma-separated *.TXT or *.CSV format. Both of these formats can be read, opened, or imported by all common applications (word processors, spreadsheets, databases, etc.).
If you save the report as a comma-separated TXT file, start Microsoft Excel. Select All Files (.) as the file type. Open the TXT file. The Text Import Wizard opens. As the file type, select Delimited and click on Next >.
In the next window, select Comma as the delimiter. The preview shows the data in columns. Click on Next >.
In the third window, select Text as the data format for the first column containing the fax number(s) (otherwise, in certain situations, the prefixed zeroes will be deleted by Excel). Click on Finish.
If you save the report as a CSV file, Microsoft Excel automatically detects the format and uploads the file without opening the Text Import Wizard. As a result, leading zeroes in the fax numbers may not get displayed because you cannot change the format of the column containing the fax numbers to Text.
You can get around this problem by using a simple trick: rename the file using the TXT file extension. Since Excel does not recognize this file extension, the Text Import Wizard opens and you can configure the settings described above.
What do the different statuses mean?
A comprehensive description of all status messages is available in Transmission status codes - Outbound Fax.
Can I move archived files?
Yes. You can also access the list of jobs archived by week on the left of the Job overview window from the archive drive/directory you configured (for example C:\Users\Peter\Faxolution4Win\Archive-2015\KW-11). You can move the directory using Windows Explorer. It is not displayed the next time you start Retarus Faxolution for Windows.
On a network, two installations of Faxolution for Windows cannot use the same archive.
Why is the number under Receiving party different from the number under Fax number?
The receiving party number is the fax ID set on the recipient’s fax device.
Can I sort the information in the detail view?
To sort data, click the column heading. Alternatively, open the View menu and select Sort by.
You can also select all numbers that did not receive the fax. To do so, go to the View menu, then choose Select and All not OK. To resend to these numbers, click Resend. The selected numbers are transferred to the recipient list. Click Send to send the fax.
Alternatively, you can use your mouse to select individual rows. To select more than one row, hold down the CTRL key.
