Objective
The Cloud Fax Migration & Onboarding Package implements the migration to Retarus Cloud Fax based on the scope and migration plan defined in the Cloud Fax Discovery & Assessment Package.
The service is designed to:

set up and configure the Retarus Cloud Fax environment

configure inbound and outbound routing and business rules
-
integrate sending applications (SAP, ERP, DMS, gateways, MFP)
-
coordinate and execute number porting
-
set up templates and coverpages
-
test and validate all fax flows before cutover
-
execute a controlled migration with defined rollback provisions
-
hand over the configured environment to regular operations
The objective is a controlled migration from legacy fax infrastructure to Retarus Cloud Fax — with validated flows, completed number porting, and documented configuration for ongoing operations.

Scope of Services
Onboarding Preparation
Confirmation of the migration plan, prerequisites validation, and implementation scheduling per the assessment output.
Cloud Fax Environment Setup
Configuration of the Retarus Cloud Fax environment, inbound and outbound routing, and business rules.
Application Integration
Connection of sending applications to Cloud Fax via standard integration capabilities — SAP, ERP, DMS, email-to-fax and fax-to-email gateways, MFP, and API-based integration as defined in scope.
Number Porting
Coordination and execution of number porting per the agreed sequencing, including carrier coordination and validation.
Template & Coverpage Setup
Configuration of coverpages, templates, and document handling per requirements.
Testing & Validation
Per-flow and per-integration testing of inbound and outbound fax, with documented test protocol.
Cutover & Migration
Phased migration per the agreed sequence, with monitoring and rollback readiness.
Handover to Operations
Configuration documentation, knowledge transfer, and handover of operational responsibilities.

Customer Responsibilities
The customer is responsible for providing:

the migration plan and implementation scope (from the Discovery & Assessment Package or equivalent)

application and telephony technical contacts
-
timely completion of customer-side prerequisites (network, application access, porting authorizations)
-
application-side reconfiguration as guided
-
testing participation and sign-off per flow
-
operations team availability for handover
Assumptions & Limitations
The following are out of scope:
-
migration planning or scope definition (Discovery & Assessment Package)
-
application-side software development
-
customer-side infrastructure changes beyond guidance
-
post-cutover operational support beyond handover (Hypercare or Contingent)
-
scope beyond the agreed migration plan without separate agreement
Outcome
After completion, the customer receives a fully migrated Cloud Fax environment with all in-scope flows configured, tested, and ported, plus documentation and handover for ongoing operations.
