Objective

The TEM Concentrator Onboarding & Configuration Package supports customers in the structured implementation and activation of the Retarus SMTP TEM Concentrator based on a validated migration plan and target architecture.

The service is designed to:

  • set up and configure the SMTP Concentrator environment

  • connect sending applications, tools and devices to the consolidated SMTP Email infrastructure

  • validate email authentication and DNS configuration for the new routing path

  • test and validate mail flow per SMTP Concentratir before cutover

  • execute a controlled cutover with defined rollback provisions

  • hand over the configured environment to regular operations

The objective is a controlled, low-risk transition from the customer's existing (internal, self-hosted, legacy,..) SMTP infrastructure to the Retarus TEM Concentrator — with validated connectivity, tested mail flow, and documented configuration for ongoing operations.

Typical Customer Scenarios

The service is particularly suitable for customers with:

  • a completed SMTP Concentrator Migration & Consolidation Package providing the migration plan and target architecture

  • legacy SMTP sending systems ready for consolidation onto the TEM Concentrator

  • ERP, CRM, scanner, or print systems requiring SMTP relay reconfiguration

  • security or compliance requirements driving controlled, documented migration execution

  • a defined cutover timeline requiring structured implementation support

Scope of Services

Onboarding Preparation Structured preparation based on the existing migration plan, including:

  • review and confirmation of the target architecture and migration sequence

  • validation of customer-side prerequisites (DNS, certificates, network, firewall)

  • definition of the implementation schedule and cutover approach

TEM Concentrator Setup & Configuration Technical setup of the TEM Concentrator environment, including:

  • core SMTP routing configuration

  • authentication configuration (SPF, DKIM, DMARC alignment for the new routing path)

  • TLS and certificate configuration

  • failover and redundancy setup per target architecture

Application Connectivity Per-application SMTP relay reconfiguration, including:

  • autehentication of sending applications (ERP, CRM, scanners, print systems, legacy applications) to the SMTP Concentrator

  • SMTP relay configuration and routing validation per SMTP Concentrator

  • application-specific configuration adjustments where required

Testing & Validation Structured testing before cutover, including:

  • per-application mail flow testing

  • end-to-end routing validation

  • authentication and delivery verification

  • test protocol documentation

Cutover Execution Controlled cutover per the agreed migration plan, including:

  • phased cutover execution according to the defined migration sequence

  • monitoring during cutover

  • rollback execution if required per defined rollback provisions

Handover to Operations Structured transition into regular operations, including:

  • configuration documentation for ongoing operations

  • knowledge transfer to the customer's operations team

  • handover of monitoring and support responsibilities

Deliverables

The service provides:

  • configured and validated TEM Concentrator environment

  • application connectivity documentation per connected application

  • routing and authentication configuration records

  • test protocol and validation results

  • cutover execution report

  • operations handover documentation

Customer Responsibilities

The customer is responsible for providing:

  • a validated migration plan and target architecture (from a prior engagement or equivalent)

  • relevant technical contacts for each sending application

  • timely completion of customer-side prerequisites (DNS changes, firewall rules, certificates, network access)

  • application-side SMTP relay reconfiguration as guided by Retarus Professional Services

  • testing participation and sign-off per application before cutover

  • operations team availability for knowledge transfer and handover

Delays in prerequisite completion or application-side changes will directly impact the implementation timeline.

Assumptions & Limitations

The service covers implementation and activation of the TEM Concentrator per an agreed migration plan. The following are out of scope:

  • migration planning or target architecture design (covered by the TEM Concentrator Migration & Consolidation Package)

  • application-side software development or code changes

  • changes to the customer's network, firewall, or certificate infrastructure beyond guidance

  • post-cutover operational support beyond the handover (available via Go-Live Hypercare Package or Professional Services Contingent)

  • environments exceeding the agreed application scope without separate agreement

Outcome

After completion, the customer receives:

  • a fully configured and validated TEM SMTP Concentrator environment

  • documented configuration and routing records for ongoing operations

  • a controlled cutover execution with validation evidence

  • a structured handover to regular operations
