Customer & fax settings
The settings in these two sections define the sender and recipient of fax messages and the structure of those messages. These settings also show which profile is currently set as the default and which settings apply when you use features with default values.
To configure individual settings:
-
Click the relevant field.
-
Make changes using the drop-down menus or free-text fields, for example, Fax ID.
These settings apply to the default profile and therefore to users who are not assigned to a profile. Depending on the settings configured in other sections, they may also apply to other users. For more information about inheritance, see see Email-to-Fax.
📌 Unique options at client level
Most options in the Email-to-Fax configuration tabs are identical. The exceptions are Fax Rules and Distribution List Names, which are available only at the client level. For more information, see Fax rules & distribution lists.
The following table lists the available customer and fax settings:
|
Setting |
Description |
|---|---|
|
Profile |
Shows the default profile set by Retarus or the selected profile. Its settings apply to users who are not specifically assigned to a profile and may also affect other users according to the inheritance principle. For more information, see Email-to-Fax. |
|
Active |
Specifies whether Email-to-Fax is enabled for the user, profile, or client. |
|
Time zone |
Specifies the time zone of the fax recipient. |
|
Fax ID (CSID) |
Specifies the fax's unique identifier. This value is used for monitoring and reporting. |
|
Cost center |
Optional. Assigns a fax job to a specific cost center. |
|
Header |
Specifies the fax header. |
|
Blacklist |
Defines whether to use a blocklist for fax transmissions. |
|
Paper size |
Sets the default paper size for fax transmissions: A4 or Letter. |
|
Resolution |
Specifies the fax resolution: High or Low. |
|
Send attachments only |
If you select Yes, Email-to-Fax sends only the attachments and omits the text in the email body. |
|
Suppress blank pages |
Specifies whether blank pages are suppressed. If you select Yes, the system also suppresses emails whose body appears blank because it contains only HTML-coded line breaks. |
Dialing settings
Dialing settings define default dialing information, such as country code and area code, that can be added automatically to destination fax numbers.
If you specify the country code and area code in the dialing settings, the system inserts them before the destination fax number when the sender does not include them. This is especially useful if users usually send faxes within a single country or area code.
If users want to send faxes to a different country or area code, they can enter the required prefix. In that case, the default settings do not apply.
Status reports
Status report settings define how the system sends the status report after fax transmission is complete.
The following table lists the available status report options:
|
Setting |
Description |
|---|---|
|
Language |
Specifies the language of the status report. Available options are English, German, French, Spanish, Italian, Polish, and Portuguese. |
|
Report format |
Specifies the format of the status report email. Available options are Customer template (available only if a customized template already exists for the customer), Short, Short with comments, Long, HTML, HTML with comments, HTML with first page, and SAP. SAP is available only for customers who use Retarus Fax for SAP. |
|
Sender |
Specifies the email address displayed to the recipient of the report. |
|
Send error reports |
In addition to sending reports to valid email addresses, you can send reports to the fax sender or to no one when an error occurs. |
|
Send status reports |
In addition to sending reports to valid email addresses, you can send reports to the fax sender or to no one after a successful transmission. |
|
Copy status reports |
In addition to sending copies of reports to valid email addresses, you can send copies to the fax sender or to no one. |
|
Attach TIFF |
Specifies whether the system attaches the original fax to the status report in TIFF format. |
|
Attach TIFF only to error report |
Specifies whether the system attaches the original fax in TIFF format only to error reports. |
|
Sort by status (error status first) |
Specifies whether status reports show error messages before OK messages. This option is especially useful if users send many faxes at once and want to quickly identify recipients who did not receive a fax. |
📌 Using & requesting customer templates
You can use a customer template for the report if one has been saved. Retarus Support can also prepare a template on request.
