Objective

The IDP Pre-Analysis Workshop provides an initial assessment of the customer's document landscape and automation potential prior to a Proof of Value (PoV) or implementation project.

The workshop helps evaluate:

• document quality and complexity

• extraction and classification capabilities

• automation potential and operational risks

• implementation readiness

• potential optimization areas

The outcome supports:

• PoV preparation and scope definition

• project scoping and implementation planning

• business case evaluation

The service is particularly suitable for customers with:

• planned introduction of intelligent document processing for invoice, order, or document automation

• existing manual processing workflows under evaluation for automation

Scope of Services

Kick-Off & Scope Alignment The workshop begins with a structured kick-off to:

• explain the workshop approach and methodology

• align scope, expectations, and document priorities

• define responsibilities and timeline

• clarify required customer inputs and ground truth requirements

Document Analysis Analysis of a defined set of customer-provided document samples, covering:

• structured and semi-structured document types

• different supplier or sender layouts

• varying document quality levels

• recurring and exception scenarios

The analysis evaluates document readability, OCR quality, layout consistency, table complexity, and special fields or edge cases.

Extraction Capability Assessment Assessment of extraction capabilities for relevant field types, including:

• header and line-item fields

• table structures and document classification

• special business fields

• multilingual or low-quality content where applicable

The assessment includes a baseline analysis of recognition quality, extraction behavior with basic configuration, and initial master data matching results where master data is provided.

Classification & Variant Analysis Evaluation of:

• document types and layout variants

• recurring document patterns and exception handling scenarios

• expected classification quality

Optimization Iterations The workshop includes up to three optimization iterations, which may cover:

• extraction tuning and field mapping improvements

• document classification adjustments

• Lucene-based optimization where master data is available

Each iteration includes internal optimization activities and one review session of up to 60 minutes with the customer.

Result Evaluation The workshop provides an initial assessment of:

• expected extraction accuracy

• expected straight-through-processing (STP) / touchless processing rate

• required validation effort

• document-specific risks and critical variants

• expected automation potential and feasibility limitations

Deliverables

The workshop provides:

• Analysis Summary Report — including document quality assessment, extraction and classification evaluation, risk analysis, identified optimization opportunities, and recommendations for PoV scope and implementation approach

• Assessment of expected extraction accuracy and STP rate

• Recommendations for next project steps

Included Sessions

Customer Responsibilities

The customer is responsible for providing:

• agreed document samples within the defined volume range

• ground truth data or manually validated sample data

• relevant master data where applicable

• required stakeholder availability

• timely feedback during review cycles

Delays in customer input may impact the overall project timeline.

Assumptions & Limitations

The workshop is limited to:

• analysis activities only

• non-production environments

• customer-provided document samples

• standard platform extraction and optimization capabilities

The following activities are explicitly out of scope:

• ERP integration or workflow implementation

• production deployment

• custom AI model training

• customer-specific business rule implementation beyond basic validation

• operational support services

Outcome

After completion of the workshop, the customer receives:

• a validated technical and business assessment of their document landscape

• a realistic basis for evaluating extraction accuracy and automation potential

• documented risks, limitations, and optimization opportunities

• a clear recommendation for PoV scope, implementation approach, and next steps
