Configuring a Fax-to-Applications profile

The settings available when configuring a new Fax-to-Applications profile are exactly the same as those available when editing an existing profile.

To access the settings of an existing profile:

  1. Select the profile in the Profiles table.

  2. Select the Edit button.

Fax-to-Applications general settings

In the General settings, you can manage some general options, such as the fax ID, the cost center, or the profile's activation status.

The table below lists the available general settings:

Displays the name of the active profile - that is, the profile currently being configured.

Displays the service used by the profile.

Fax ID

See Customer settings.

Also known as the CSID, it identifies the fax and is used in reports on the fax sent to the sender. It can consist of a phone number and additional alphanumeric characters, but no more than 20 altogether.

Cost center

See Customer settings.

Optional. It can be used to enter a billing code if desired.

Activated

Yes

Displays whether the profile is activated.

If a profile is deactivated, all fax numbers assigned to the profile are also deactivated and can no longer be reached.

Fax-to-Applications document settings

The Document settings include archive duration, document format, PDF settings, and OCR settings. For example, the screenshot below shows the settings when PDF is selected as the document format and the OCR & barcode recognition feature is enabled:

Days in short-term archive

See Customer settings.

The number of days the fax will be stored in the short-term archive. The maximum number of days is specified in your contract with Retarus.

Document format

See Customer settings.

 The format in which the fax will be sent. The formats currently supported are PDF, PDF/A-1b, TIFF, TIFFG4, and Single Page TIFF.

Handling of non-confirmed pages

Forward as received

Defines how to process jobs when some pages are not successfully received:

  • Forward as received: Partial pages are forwarded as received.

  • Completely drop the job: The entire job, including correctly received pages, is not forwarded.

Selecting the Completely drop the job option allows Retarus to discard all pages, including those confirmed as correctly received by the sender. Use this option cautiously and only if necessary for your workflow.

Encryption

No encryption

Specifies whether you want to receive documents in encrypted form. Possible values are listed below:

  • For PDF: No encryption, Password encryption, X.509, or PGP_ASCII_ARMORED

  • For TIFF: No encryption, PGP_ASCII_ARMORED, or PGP_BINARY

If you choose password encryption, you can use a user password only, a permissions password only, or both.

PDF/A does not support encryption.

Upload key

Allows you to upload a valid X.509 certificate or PGP key. Browse for the file in your file system and upload it.

The upload is successful when you see the red ribbon icon next to the Encryption methods field. Clicking the X icon next to the red ribbon deletes the uploaded certificate/key.

User password

See Customer settings.

Applies only to password encryption. The user password is required to access and print the file but does not allow editing. If only a user password is set, the permissions password is automatically generated and remains unknown, preventing any changes to rights.

Permissions password

See Customer settings.

Applies only to password encryption. No password is needed to access or print the file. However, editing rights are restricted unless you use a full version of Adobe Acrobat and enter the permissions password, which grants full rights.

User and permissions passwords

See Customer settings.

Applies only to password encryption. If both user and permissions passwords are configured, you can open the document using either password:

  • User Password: Allows you to view and print the document but not edit it.

  • Permissions Password: Grants full rights, including editing, when used with a full version of Adobe Acrobat.

Encryption for

Delivered & archived faxes

Specifies whether to encrypt transmitted faxes, archived faxes, or both.

  • Delivered & archived faxes: Both transmitted and archived faxes are encrypted.

  • Delivered faxes: Transmitted faxes are encrypted and archived faxes are stored unencrypted.

  • Archived faxes: Archived faxes are stored encrypted and transmitted faxes are stored unencrypted.

Paper format

See Customer settings.

Specifies the paper format. You can choose between A4 and Letter (PDF only).

Receipt details

See Customer settings.

If enabled, fax reception information is printed on the left-hand side of a fax report.

OCR/Barcode recognition

None

If either OCR & barcode or Barcode is selected, you need to configure additional settings below. See Supported Barcode Types for a list of supported barcodes.

OCR output format

XML

Specifies the data format for displaying OCR results. Multiple options can be selected.

OCR pages

All

Specifies whether to apply OCR to all pages or only to one page by clicking the entry field and entering it. Entering 1 means that only page 1 will have OCR.

The required setting is All if you have OCR on more than one page in the entire fax.

Languages

English, German, French, Italian, Spanish, Polish

Specifies the languages in which OCR should be applied to the document. You can choose from German, English, French, Spanish, Italian, and Polish. Multiple languages can be selected.

This setting is applicable only when OCR & barcode is selected.

Fax-to-Application recipient settings

The Recipient settings configure the parameters required to receive and authenticate inbound faxes.

Defines whether authentication at the protocol level is required. Supported authentication types include:

  • Basic: Username and password

  • NTLM@Proxy

  • OAuth 2.0

Time zone

Europe/Berlin

Selects the destination time zone for fax delivery.
