Deliverability Functions
Express Delivery
Allows fax transmission priority management. A fax can be assigned a priority of high or normal. Fax transmission requests of the 'express' type are processed as a priority in the Retarus system.
Holdback Time
Configuration settings that allow the customer to set the total amount of time for delivery attempts of faxes and the total number of days the status notifications will be available to the customer. The Holdback Time for the fax delivery attempt time under Fax Settings in the EAS Portal has a default of 120 minutes. The Holdback Time setting under Report Settings in the EAS Portal to set the number of days the status notifications will be available to the customer has a default of 30 days.
NeverBusy Technology
Ensures that multiple faxes are sent to the same recipient sequentially. Retarus queues outbound faxes that are destined for the same number, to be delivered only when the destination is available, resulting in higher delivery rates. The intelligent infrastructure function detects exactly which fax lines are currently connected with which number, so pending faxes can be lined up directly behind the current transmission. Without the NeverBusy Technology, many faxes would likely fail with a final state of BUSY.
Rendering Control
A flexible rendering engine provides the ability to support diverse fonts, formats, contrast, and document types.
Send out Time
Provides the ability to send faxes in timed batches rather than to all recipients at the same time.
Document Management Characteristics
CLIP
Ability to set a fax number as the Calling Line Identity Presentation (CLIP) at the carrier level to identify the organization sending the faxes.
CSID
Ability to customize the Called Subscriber ID (CSID), the sending fax number displayed to the fax recipient.
Custom Header and Footer
Provides the ability to add and customize the header and footer on outbound fax pages.
Document Encryption
Inbound fax messages can be encrypted using various methods. For the Fax-to-Webservice and Fax-to-FTP services: 1) PGP is utilized for TIFF and PDF file formats and 2) X.509 and password encryption is used for the PDF file format. For the Fax-to-Email service, Password encryption for the PDF file format is available. No encryption is available for the PDF/A format.
Customer-Specific Email Template for Fax Receipt (Fax-to-Email)
Provides the ability to modify the standard Retarus email that is delivered to the fax recipient with either a PDF or TIFF of the inbound fax. In the EAS Portal, the standard template for the email sent to the fax recipient can be modified and the modifications can include adding a customer logo, changing the color of the order combination, adding/deleting Retarus default information elements, and adding customer-defined texts or links, for example to instructions in the customer Intranet.
Empty Pages Removing / Removal of Empty Pages
Provides the ability to omit empty pages for outbound faxes.
High-Resolution / High-Resolution Delivery ('Fine')
Allows for high-resolution delivery of 204x196 DPI for outbound faxes to improve document quality for the recipient. Retarus renders the fax documents with a fine resolution of 204x196 DPI.
Inbound Ribbon
Provides the ability to add and customize the inbound ribbon at the top of each received fax page. The following information can be added to the inbound ribbon on received faxes: time stamp, date, and sender.
Overlay Template
Allows the sender to add personalization such as logos or stamps by selecting and configuring overlays over specific pages and the actual fax content before sending the outbound fax.
Paper Size
Provides the ability to select a specific paper size, as there are various standard paper sizes for different countries such as A3, A4/US Legal, and US letter.
Personalized Cover Pages / Customer-Specific Cover Sheets for Fax Transmission (Email-to-Fax)
Provides the ability for customers to use custom fax cover sheets. With the customer’s input, Retarus creates and implements a customer-specific Mail-to-Fax cover sheet template in the EAS Portal. The cover sheet template must be in RTF format and the customizations can include a company logo, sender information, recipient information, subject line, and text in the email body.
Page / Attachment Selection
Allows the sender to select an entire page or attachment only as the content for the outbound fax.
Preferred Mime Type
Allows the sender to select to use either text or HTML in the body of the email for Email-to-Fax.
Time Zone
Allows the time zone to be set for the receiving fax account.
TSID
Provides the ability to customize the Transmitting Subscriber ID (TSID) displayed to the fax recipient. Allows the customer to set a custom sender ID displayed to the fax recipient. The TSID is a string of characters identifying the sender of the fax transmission to the receiving fax server/fax machine.

Custom Status Templating
Provides the ability to build and manage custom templates for mapping the output format to the format required by customer applications.
Enterprise Administration Services Portal (EAS Portal)
A web-based platform that provides one, all-purpose, user-friendly web portal 1) to monitor inbound and outbound fax activity in real-time, 2) to view, print, and download fax reporting, 3) to add, delete, and update users, 4) to configure account settings and 5) to open support tickets and monitor their status. The EAS portal makes it easy to view all faxes sent and received within a specific timeframe and to search for individual faxes.
Retarus Status Page
A services health dashboard providing customers with real-time, and retroactive, visibility into the health of the Retarus global services across all data centers, and which can be integrated into IT Service Management processes. Customers and partners can register to receive email or SMS notifications. To instantly view the health of the Retarus services, go to https://status.retarus.io/.
Public Status API
A services health API providing customers with real-time visibility into the health of the Retarus global services across all data centers, and which can be integrated into IT Service Management tools of the customers. The Retarus Public Status API is a REST API, supports HTTPS, and returns the data in JSON format.
‘Fax In Flight’ Monitoring / Real-Time Monitoring
Provides the ability for real-time monitoring of fax traffic, even during transmission. The Retarus EAS Portal allows customers with administrative access to view inbound and outbound fax transmission details down to a split-second. Administrators can efficiently search for failed outbound faxes and missed inbound faxes within the last six months. Fax traffic reports can be viewed, downloaded, and saved. When fax transmission status reports are required to show proof of client communication, the EAS Portal reporting can be used for auditing purposes.
Reporting API / Fax Reporting API
Provides customers the ability to run queries anytime to request fax transmission status and fax metadata for their fax traffic. The Retarus Reporting API gives customers the freedom to query their fax job data at will and around the clock to integrate into reporting for customer dashboards and analytics tools.
Fax Report Archive
Provides the ability to archive monthly fax reports from the last six 6 months. These monthly reports can be automatically sent to a stored email address. The reports for the previous calendar month can be retrieved at the start of the following month.
Customer-Specific Email Template for Fax Status Confirmations (Email-to-Fax, Fax-for-Applications)
Provides the ability to modify and personalize the standard Retarus fax status confirmation email sent to the sender. In the EAS Portal, the standard template for the fax status confirmation email can be customized and the modifications can include adding a customer logo, changing the color of the order summary, adding/deleting Retarus digest information elements, adding/deleting a preview, changing the size, and adding customer links and detailed instructions.
User Administration Attributes
Configuration API
Provides the ability to manage account administration such as Moves, Adds, and Changes (MACs) automatically via the API.
Cost Center Management
Provides the ability to create and manage cost centers.
Deny Creation and Deletion of Account Profiles
Allows account administrators to disable the users' ability to create or delete account profiles.
Directory Synchronization (DirSync)
An interface that allows the customer to automatically update Email-to-Fax and Fax-to-Email user data in the Retarus system based on their company address books or directories.
Domain Level Sending
Allows all users registered under the @domain email address to send faxes using Email-to-Fax without the need for creating a separate fax account for each sender.
FoIP Connection / Fax over IP Connection
Allows for inbound fax services utilizing Fax over IP connections via inbound SIP trunks. Using a FoIP connection for inbound faxing requires one or more SIP trunks to be set up directly from the customer’s carrier or network to a Retarus data center. To take advantage of the Retarus high availability offering, at least two SIP trunks are needed. Retarus offers SIP trunks via public internet, VPN, or dedicated line.
Single Sign-On Authentication for EAS
Provides the ability for users to log in to the Retarus EAS portal using their company’s existing Single Sign-On credentials. SSO allows customers to access the EAS platform using their current authentication credentials, including those managed through LDAP directories.
Fax Numbers
Allows customers to obtain new telephone numbers for their Retarus inbound fax service. Local numbers and worldwide numbers are available. Alternatively, where possible, the customer can port their existing fax numbers to receive faxes. Provisioning new local and worldwide numbers is subject to the applicable national legal and regulatory requirements.
Network and Connectivity Integrations
Authentication
Provides the ability to configure the authentication methods used for connectivity and varying stages of the fax process. Some examples of authentication methods to be used include OAuth, Mutual TLS, SPF/DKIM, and License Keys.
Custom Fax Gateway Domain
Provides the ability to use a custom fax gateway domain for fax transmissions. The standard Retarus fax gateway domain (e.g., faxnumber@us.rfax.net) can be adapted to incorporate the customer's company name instead (e.g., faxnumber@customerdomain.com).
Enforced TLS Connection
Allows for the encryption of the email connection between the customer and the Retarus Fax Cloud Gateway, for Email-to-Fax and Fax-to-Email. Regarding the emails that are delivered by SMTP to the customer for Email-to-Fax, Fax-to-Email, and Faxolution for Applications, Enforced TLS can be set up for each recipient domain.
IP Address Allowlisting
Provides the ability to set IP addresses that can access Retarus fax services and ensure the listed IP addresses will not be blocked.
SAP SNC Connection
Allows for the encrypted connection between the customers' SAP systems or SAP Router and the Retarus data centers. For the encrypted connection between Retarus and the customer's SAP system(s), an SNC connection via the SAP router is utilized.
VPN Connection
Allows for the encryption of the connection between the customer and the Retarus data centers via Virtual Private Network (VPN).
Workflow Optimization
Multi-Recipient Fax Delivery Status Emails with Fax Image
Provides the ability to send fax delivery status emails to multiple addresses with the rendered fax image included.
Blocklist
Provides the ability to apply a blocklist to outbound fax jobs to prevent faxes from being sent to recipients that have opted out and to fax numbers that should not receive specific fax jobs.
Customizable Bounce Address / Bounce Address Setup
Provides the ability to set up an email address for the automatic forwarding of undeliverable emails.
Default Recipient
Provides the ability to configure a default email address to use for forwarding all non-assigned Fax-to-Email numbers.
Distribution List
Provides the ability to list the files that cannot be faxed as an attachment to Mail2Fax messages. These files will instead be treated as distribution lists. Complete file names and wildcards (*.csv) are both supported. Messages to "list@rfax.net" that have an attached distribution list in ASCII or CSV format are sent to all numbers found in the distribution list, which makes it easy to send broadcasts.
Automatic Fax Reply
Allows automatic fax replies to be delivered to senders' fax numbers for faxes received on inbound Retarus fax numbers. A fax reply is transmitted to the sender’s fax number and contains details of the transmission, such as sender and recipient numbers, date and time of receipt, number of pages, and send status. Customers can customize the fax reply template which can include department names, logos, detailed instructions, etcetera.
Fax Rules
Provides the ability to configure outbound sending and distribution list rules such as blocking specific country codes and limiting file types allowed to be sent.
Handling of Non-Confirmed Status
Provides the ability to select how to handle fax jobs in cases where all pages were not correctly received.
Intelligent Document Splitting
Allows the automatic splitting of document batches into individual documents for inbound faxes.
Fax Long-Term Archive
Provides the ability to archive inbound and outbound fax documents and their metadata in a Retarus data center for 1 year. The contracted long-term archive period is agreed upon between Retarus and the customer and is generally no more than 12 months. The customer has access to the archived fax documents during the term of the contract, and the documents are provided in TIFF format. Once the contracted long-term archive period is over, the fax messages and metadata are automatically deleted from the archive on the following day. To access existing archive documents or to get a data export of the remaining documents after the archive period has ended, a Retarus Support ticket can be initiated for a fee.
Number-Based Routing
Allows inbound faxes to be forwarded to the correct recipient email inbox, based on the sender number.
Barcode Recognition
Provides the ability for bar code recognition on inbound fax messages. Retarus supports the recognition of all current barcode formats, automated document routing, and splitting of faxes containing several transactions into separate files. Output formats for barcode recognition are text and XML.
OCR Text Recognition
Provides the ability for OCR text recognition on inbound fax messages. Retarus converts non-editable fax files into an edit-friendly format. OCR works with various file types, including handwritten notes and digital images.
One-to-Many Delivery
Provides the ability to configure multiple inbound recipients per fax number for such services as Fax-to-Email and Fax-to-FTP.

Provides the ability to archive inbound and outbound fax documents and their metadata in a Retarus data center for 7 days. The contracted short-term archive period is agreed upon between Retarus and the customer and is generally no more than 7 days. The customer has access to the archived fax documents during the term of the contract, and the documents are provided in TIFF format. Sort by Status
Provides the ability for reports in EAS to be automatically sorted so that the failures and errors are displayed first before the successful messages.
Subject Line Commands
Allows the sender to use commands in the subject line to specify instructions such as high resolution or express delivery for Email-to-Fax.
