Configuring fax transmissions

Extended settings via the subject line

By using direct commands in the subject line, you can set transmission parameters independent of the configuration in the EAS portal. Settings made in the subject line take precedence over user, customer, or profile configurations stored with Retarus. Exercising additional control over the subject line is especially recommended when using Email-to-Fax for Applications.

The following table explains the subject line commands.

Priority:

[PRIO:NORMAL]: Normal priority

[PRIO:URGENT]: High priority

You can control the priority of your fax through your email program's priority setting.

Blacklist comparison:

[BL:ON]: Blocklist comparison enabled

[BL:OFF]: Blocklist comparison disabled

You decide whether you want to use the BITKOM Robinson Blocklist.

This blocklist only applies to numbers in Germany.

Attach TIFF file to the report:

[RECEIVE:ON]: TIFF file is attached to the report.

[RECEIPT:OFF]: TIFF file is not attached to the report.

Send attachments only (not the Mail-Body):

~~~: Only attachments are sent.

$$$: Only attachments are sent.

[ATTONLY:ON]: Only attachments are sent.
[ATTONLY:OFF]: The email body and the attachment are sent.

Cover page:

[CP:cover-page.rtf]: The cover page is placed in front of the fax.

The cover page name stored in the EAS portal is used. "cover-page.rtf" is just a generic cover page name.

Billing code:

[BC:xxx]: Billing code for invoices

Identifier:

[CSID:xxx]: Alternative CSID

The identifier can be up to 20 characters long, preferably numbers. There is no guarantee that the CSID specified here will be seen by the recipient.

Transmission time:

[DT:yyy-MM-dd-HH.mm.ssZ]: Transmission time with or without time zone, for example:

  • [DT:2014-09-15-20.15+0200]

  • [DT:2014-09-25-11.20.30]

  • [DT:2014-10-02-08.10.00-0400]

If no time zone is specified, Central European Time is automatically
applied. A time in the past means that the queued fax was sent immediately.

Additional distribution lists:

[DL:xxx.txt]: Exact name of an attached distribution list file.

Multiple distribution lists can be used. This option is only useful
in conjunction with addressing to list@rfax.net or list@us.rfax.net.
Addressing is case-sensitive.

Status report to a specific email address:

[REPLYTO: Valid email address]: Specifies the email address to which the report is sent. Without this address, the report is sent to the sender's email address.

You can also add Reply-To: to the email's MIME header. The subject takes precedence over the MIME header.

This option overrides the profile/user configuration in the EAS portal. If the [ERRORONLY: ON] option is also specified, the report will only be sent to the specified recipient if an error occurs.

Copy of status report to a specific email address:

[REPLYCC: Valid email address]: When the delivery report is forwarded to the sender, an additional recipient also receives a copy.

This option overrides configuration in the EAS portal.

Status report only in case of error:

[ERRONLY:ON]

This option causes the transmission status to be sent only when an error occurs. It can be combined with the [RECEIVE: ON] option.

Resolution

[RES:HIGH]: The fax is sent
in high resolution.

[RES:LOW]: The fax is sent
in low resolution.

Paper format

[PF:A4]: Selects the A4 format for the fax.
[PF:LETTER]: Selects the Letter
format for the fax.

Recipient time zone

[RTZ:Recipient’s time zone]: The time zone where the recipient of the fax is located.

Additional transmission control settings

You can request delivery notification when you send a fax. Activate the Delivery notification option as usual in your email client.

  • You receive a delivery notification from Retarus informing you that we have received your transmission.

  • In addition, the document you sent to us is attached to the report as a TIFF file, allowing you to monitor how your transmission job was delivered to the recipient.
